This privacy policy describes the personal data collected or generated (processed) when you use the services (courses, championships, and rentals) of the University Sports Institute (USI) Klagenfurt. It also explains how your personal data is used, shared, and protected, your options regarding your personal data, and how to contact us.

The University Sports Institute Klagenfurt is referred to as “USI,” “our,” “we,” or “us” in this privacy policy.

We request specific personal data to provide you with the services you want. For example, when you register for courses, camps, championships, events, or equipment/facility rentals offered by USI.
This personal data includes:
- Contact information: First and last name, address, date of birth, gender, nationality, academic title, status (student/alumnus), university affiliation, email, phone number, portrait photo.
- Login details: Username, password, and specific user identification.
- Personal data: Registration history, payment details (USI never directly requests credit card information).
- Images, photos, and videos.
- Personal preferences, including cookie settings.
During interactions with our pages, certain data is automatically collected by your device or web browser. Further details about these processes are outlined in the “Cookies” section below.
This data includes:
- Network address and cookies, IP addresses, referrer headers, data identifying your web browser and its version, as well as web beacons and tags.
Children and Adolescents
The USI services are intended exclusively for individuals within specified groups. Remaining spots are allocated to other individuals aged 18 and older. Children and adolescents can only participate in specially designated courses with registration by a parent. Participation in other courses is prohibited for children and adolescents.

For example, if you register on usi.aau.at or participate in an event, we will use the contact information you provide to communicate with you regarding the registration, rental, or event. To communicate information about our courses, camps, course programs, services, competitions, and promotional purposes of our partners:
If you are already a USI customer (e.g., you have registered with us), we may use your contact information to provide you with updates about courses, camps, course programs, services, competitions, and promotional offers from our partners.

We use the personal data you provide to manage our business. For example, if you register, we use this information for accounting, examination administration, and other internal functions. We may also use data about how you interact with our products or services to enhance your user experience, identify technical and performance-related issues, and manage our pages.
To protect our rights, property, and safety or the rights, property, and safety of third parties:
We may use your personal data about how you use our pages to prevent or detect fraud, abuse, illegal use, or violations of our terms of use and to comply with court orders, government requirements, or applicable laws.

- USI course instructors receive a participant list to carry out the respective course. This list includes first and last name, photo, phone number, and email address.
- For courses that involve overnight stays, contact details are shared by the course instructor with the respective accommodation provider for reservation or billing purposes.
- Other entities for the purposes outlined above (e.g., fulfillment of a contract) and under the conditions described above.
- Third-party service providers who process personal data for the USI, such as handling credit card payments and other transactions, conducting events (e.g., time measurements), collecting, managing, and maintaining data, distributing emails, conducting research and analysis, and managing other services and functions. Agreements with third-party providers include appropriate technical and organizational measures to protect your personal data.
- Other third parties, as necessary, to (i) comply with a governmental request, court order, or legal regulations, (ii) prevent illegal use of the pages or violations of our terms of use, (iii) defend us against third-party claims, and (iv) assist in fraud prevention or investigations (e.g., counterfeiting).
- Any other third parties to whom you have given your consent.
PROTECTION and MANAGEMENT of Your Personal Data

Online and Hybrid Courses
Image and audio recordings are made during online and hybrid courses. For digital participation, each participant decides whether to enable their camera or microphone. Participation without enabling these features, as a listener only, is possible.
In hybrid courses held in person, a marked area is covered by the camera and recorded. Additionally, reflections or incidental camera coverage may occur outside this area. If recording is not desired, participants should inform the course instructor when attending in person and take the assigned seat in the side area that is not captured by the camera. Participation without being recorded is possible in this designated area.
Further recording, use, or distribution of participants’ recordings beyond this is not permitted and may result in legal consequences.
Recorded sessions are available “on demand” during the current semester and are deleted at the end of each semester.
CHANGES to Our Privacy Policy
Applicable laws and our business practices may change from time to time. If we update our privacy policy, we will publish the changes on our pages. If we significantly change the way we process your personal data, we will inform you in advance. Where legally required, we will obtain your consent before implementing such changes.
We strongly recommend that you read our privacy policy and stay informed about our practices. This privacy policy was last updated in February 2021.
