General Terms and Conditions of Business (as of February 2024)
01.) Scope / Area of Application
The following General Terms and Conditions of Business (“GTC”), in the version valid at the time of registration, govern exclusively the relationship between the Alpen-Adria Universität Klagenfurt (“AAU”), the Universitätssportinstitut (the “University Sports Institute” or “USI”) and the participant as to the registration and payment for an USI course or competition. The USI does not recognise any deviation or change from these General Terms and Conditions. Through his/her registration the participant accepts the currently valid version of these General Terms and Conditions and agrees to be bound by these Terms and Conditions and organisational instructions of the USI. The USI specially reserves the right to amend these GTCs from time to time — the currently valid version is found on our website at http://usi.aau.at.
02.) Prices / Price categories / participant categories / schedule
The prices for each given course (=Course Fees) are semester prices organized in three tiered price categories. The price categories are assigned by participant categories. You can find a detailed list of the individual price categories and participant categories at Price Categories/Participant Categories.
“University Affiliated Persons” are given preferential treatment through staggered registration times, i.e., course registration is possible on the first day course registration is open.
Graduates of AAU and academics can register 4 days following the first day of registration for “University Affiliated Persons”. All other participants have the possibility to register for any vacant places seven days following the first day of registration for “University Affiliated Persons”.

03.) Course registration requirements / Registering for courses
Only persons older than 18 are eligible to register for and participate in the courses provided they are properly registered in the USI course administration programme.
Check your classification in the Price Category/Participant Category under usi [at] aau [dot] at before registering for the course (appropriate evidence of eligibility must be provided).
An exception to this applies to all AAU staff and students. In this case manual registration or classification is not possible.
AAU staff: Automatic registration or classification takes place at the start of the contract. Entitlement to the AAU staff tariff can only be claimed for the period of the contractual relationship (effective date of contract start / contract end).
AAU students: Automatic registration or classification takes place approximately 5 days after payment of ÖH-fees / university fees for the current semester.
All other persons may be made the registration by sending the necessary data and documents (last name, first name, academic degree if applicable, date of birth, residence address, photograph (image file), valid e-mail address and the appropriate evidence for correct classification in a price/participant category), to usi [at] aau [dot] at.
All participants are responsible for their own correct classification. Refunds of amounts paid are generally not considered.
Please note that at the beginning of course registration delays may be encountered due to increased workload.
04.) Registering for courses / Paying for courses
Final, binding course registration occurs only after payment in full of all required course fees and ability to print-out the course registration confirmation.
Note: Persons with disabilities also have the possibility to register for courses other than those specifically offered for them after consultation with the course instructor. For USI courses these are group trainings where the course instructor is specialized in the particular area.
Some courses have additional costs.
Additional costs:
Some blocked courses (where the starting date is especially assigned and they will be held on one day or several days as for example in course segments like ball games, climbing sports, outdoor, workshops, USI summer, camps, and training and continuing education) may have costs in addition to the course fees (for example for travel to/from the course location, equipment, entrance fees, rental fees, lift cards, materials, reservation fees, over-night costs, documents, accommodation, etc.) which are to be paid separately by the participant/participants. Please note the specific instructions for each course.

- AAU staff and students should login with their UNI-Account.
- All other persons should create a user name for their e-mail address with USI. A password can then be requested which will be sent to the e-mail address provided.
- Payment of course fees can be made by credit card or EPS.
Course registration and payment in the USI office:
Course registration may be made by cash payment/cash card in the USI secretary’s office, Universitätsstraße 63, 9020 Klagenfurt, during office opening times (in person or through a representative).
05.) Carrying/ Showing the course registration confirmation /Transfer to third parties forbidden
Course participants should carry their course registration confirmation card with them at all times. You can find the course registration confirmation document at https://usionline.aau.at/usiweb/login, “My Courses”, “Print Registration Confirmation”.
Course participants are required to follow the instructions of the sports hall staff, course instructors and other USI employed control personnel.
The course registration confirmation is valid only for the registered participant and for that course. Participants are not permitted to transfer the confirmation to allow other persons to attend the course.
If a person attends a course without being entitled to do so, the course instructor or other control person is authorized to demand that such person leaves the location immediately. Any misuse of the registration confirmation card of any kind shall lead to the immediate withdrawal of the registration confirmation card and to being banned from all USI courses for a minimum of two semesters. In addition, the USI reserves the right to take further legal action.
06.) Sampling or trying out the courses
Attending a course without registering (i.e., trying out the course) is only possible for courses held weekly over the entire semester and then only in the first class with the permission of the course instructor.
Trying out courses is not possible for fully booked courses and blocked courses (in the course categories ball games, climbing, outdoor, workshops, USI summer, TryUSI), camps, and training and continuing education, as well as for semester cards.
07.) Re-booking or transferring from one course to another
Re-booking from one class to another is only possible from one weekly-held course (over an entire semester) to another weekly-held course (over an entire semester), provided that there are vacant places available. A request for re-booking must be made during the first three weeks of registration directly in the USI secretary’s office during official office opening hours. A fee of EUR 2,00 will be charged for every re-booked course.
Transferring to a more expensive cost requires payment of the difference in addition to the re-booking fee. No refund of costs will be made if transferring to a less expensive course.
Re-booking requests submitted outside USI official office opening hours or by phone, email, or fax will not be considered.
Re-booking is expressly prohibited for courses held as blocks, camps, and training and continuing education courses.
08.) Withdrawing from a course / Cancellation
Withdrawing from or cancelling a class held weekly over an entire semester or from a semester card is, without exception, not possible. Course fees will not be refunded or credited.
Deregistration / cancellation from a blocked course is possible at the latest 21 days before the start of the course for a processing fee of EUR 5.00. Without exception, the day of deregistration/cancellation is decisive and can be made either online by requesting a refund via e-mail to usi [at] aau [dot] at or at the USI secretary’s office during the designated office hours. Within the 21 days prior to the start of the course, the entire course fee will be forfeited in the event of deregistration / cancellation.
Cancellation of camps and training courses (from the course section Camps / Training Courses) is only possible up to 2 months before the start of the course or the start of the booking for a cancellation fee of EUR 30,00. Without exception, the date of cancellation is decisive. Cancellations can be made either online by requesting the form “claim for refund” via email to usi [at] aau [dot] at or at the USI secretary’s office during the designated office hours.
Within these 2 months before the start of the course, the entire course fee will be forfeited in case of deregistration / cancellation, unless a substitute person suggested by the participant takes part in the camp or in the education or training and this person pays the entire course fee, the participant will be refunded the course fee minus a fee of EUR 30,00.
In any case, for blocked courses, camps as well as training and further education, further cancellation fees, for example for flights, accommodation etc. or all other resulting costs will be charged.
These cancellation conditions can be found on the homepage of the respective airline, accommodation, etc. The conclusion of a private cancellation insurance is recommended. We would like to point out that in the case of blocked courses, camps as well as training and further education, no costs (neither course or cancellation fees nor accommodation costs or the like) will be refunded in the event of early and/or late arrival and/or departure.
Please note that for camps as well as training and continuing education there is no refund of costs (neither course fees, cancellation fees, accommodation costs, or similar costs) for late and / or early arrivals and / or departures.
Withdrawals/Cancellations by telephone will not be considered.
For withdrawals/cancellations of a course held as a block, camps and training and continuing education offers marked “registration is binding”, a refund of the course fee or provision of a credit voucher is – without exception – not possible and additional cancellation costs such as flights, accommodation, etc. shall be charged. Private cancellation insurance is advisable.
Health and medical reasons (e.g., injuries, illness, pregnancy) or other reasons are not grounds for withdrawals or cancellation for weekly-held courses, blocked courses, camps, as well as for training and continuing education and semester cards. Course fees shall not be refunded or credited.
Therefore we strongly advise participants to enter into their own sickness / accident / third-party liability insurance policy.
09.) Right of rescission
For courses booked over the internet, the participant, in the case where he/she has engaged in a consumer transaction according to the provisions of consumer protection law, has the legal right to rescind the contract for this transaction within 7 work days (Saturday is not a workday) calculated from the date of entering into the contract, to the extent that the course has not started and classes have not taken place within these 7 days. This deadline shall be deemed as having been met if the written rescission notice and the registration confirmation card for the course at issue is sent within this time to the USI secretary’s office by post in such a manner as to be verifiable or is delivered in person directly to the USI secretary’s office during official opening hours or submitting the form “claim for refund” via email to usi[at]aau[dot]at. A handling fee of EUR 5,00 will be charged.
10.) Course cancellation / Full Course not held / Course rescheduled
The USI reserves the right to cancel courses in cases where the minimum number of participants is not reached, rooms or facilities are not available, failure of the instructor, weather conditions are unfavourable or because of unforeseeable external factors (e.g. pandemic). Participants shall be timely informed in writing by e-mail of the cancellation and advised of the time in which payouts shall be made. In this case, participants shall receive a credit voucher for the refund amount (the course fee will be credited aliquot) under your registration which can be applied to the next online course registration. If desired, a return transfer can be arranged free of charge using the appropriate form.
Course cancellations or rescheduling (e.g., due to holidays, public holidays, course-free days, course instructor illness/quarantine, sports hall repairs, school-selected sports hall closures, short-term closure of sports facilities for safety reasons including pandemic/epidemic, extreme weather conditions, own use applications, etc.) are not grounds for full or partial refunds of course fees or substitute class periods.
11.) Hybrid courses
These are events that are simultaneously broadcast live online and can also be accessed “on demand”. Participants are free to choose the type of participation they wish. Should it not be possible to hold the classroom sessions due to exceptional circumstances, the course will be continued exclusively online. In such a case, a refund is excluded.
Short-term technical problems with live transmissions or missing recordings in the “on demand” offer do not result in a claim for reimbursement.
12.) Online courses
These are events that are exclusively broadcast live online and can also be accessed “on demand”. Short-term technical problems with live transmissions or missing recordings in the “on demand” offer do not result in a claim for reimbursement.
13.) TryUSI
TryUSI courses are held as a block and can be booked for the last weeks of the current semester to a very reduced price. When courses are fully booked, additional capacity are available. Those courses where TryUSI is possible are marked with “TryUSI” in the course program.
14.) Change in the programme / Change in services
The USI reserves the right to make objectively-justified price changes, programme changes and course offering changes. For this, there is no right of rescission for reason of mistake. Please note current notices on the USI notice board (2nd floor) and notices for each respective course on our homepage search for course.
15.) Course reservation
Course reservations are not possible, neither online nor through the USI Secretary’s Office.
16.) Using the Sports Hall
Participation in sports training activities requires the wearing of appropriate sports equipment. All participants are requested to use sports shoes with clean, light or non-marking (hard) soles. Sports Hall staff or other persons employed by USI are entitled to carry out checks, and in the case of non-compliance to demand the person leaves the facility immediately. Equipment and devices may only be used in a course under supervision of the course instructor; staff instructions are to be followed at all times.
The facilities of the University Sports Institute are open while USI classes are held on Monday to Friday: 07.00 – 21.45 hours, Saturday: 09.00 – 16.45 hours (from May to September 09.00 – 20.45 hours), Sunday: 15.00 – 20.45 hours; on event-free days (no USI classes are held): Monday to Friday: 07.00 – 20.45 hours, Saturday: 09.00 – 16.45 hours (from May to September 09.00 – 20.45 hours), Sunday: 15.00 – 20.45 hours and on public holidays: from May to September: 15.00 – 20.45 hours, from October to April: closed. Deviations are possible and will be published
The participants of USI sports classes and the instructors as well have to leave the University Sports Institute 15 minutes after the sport facilities are locked at the latest.
17.) Medical examination by a sports doctor
Given the occasionally high demands on the body which sports training entails, we recommend a medical examination by a sports doctor. Participation is up to the individual, and is in any case at the sport participant’s own risk.
18.) Further information about participating
The participant confirms with his or her registration that he/she has fully informed him/herself that he/she fulfils both the physical and health requirements for the respective course, competition or free training (semester card). If a participant does not have enough ability to fulfil the demands of a course, the course instructor has the right to exclude the participant from the course. In such cases, the course fee will neither be refunded nor credited. A participant may also be excluded from a course for disciplinary or hygienic reasons. The course instructor must confirm this on the course registration card with a note, date and signature. The course fee will be refunded in full in the USI secretary’s office during official opening hours within 7 days after expulsion from the course.
If additional costs or cancellation costs are not paid by a participant, he/she shall be banned from all sport offerings for a period of at least two semesters. In this case, there shall be no refund of the course fees.
Participants shall observe all AAU house rules (http://www.aau.at/en/) and user regulations and USI user regulations (http://www.aau.at/en/usi/). A repeated breach of these rules or breach of other safety requirements shall lead to a ban from all sport offerings for a period of at least two semesters. In this case, there shall be no refund of the course fees.
19.) Lost / Damaged locker key / Lock
USI shall be reimbursed for the repair or replacement costs of any lost or damaged locker key or lock. A form to fill out and report such loss / damage is available from the USI sports hall staff.
20.) Personal data
Information from the USI to you about course cancellations, postponements, rescheduling, etc. will only reach you if you keep your email address current. Personal data can be updated at any time via Login (http:usionline.aau.at/usiweb/login). Faking a false identity will lead to immediate and permanent exclusion from the entire sports programme. A refund of the course fee will not be made in this case. Furthermore, the USI reserves the right to take further legal steps.
21.) Data protection
Participants agree that the data they have supplied may be saved and processed for the purposes of bookkeeping, participant records, and communications via email concerning course cancellations or changes, USI events and similar uses. In order to organise and process camps, training and continuing education (courses in the camp category) personal data shall be forwarded to the respective airline, hotel, etc.
Stored personal data may be deleted upon request (usi [at] aau [dot] at) provided that no other statutory retention period applies. Continued use of USI offers is not possible after deletion of personal data.
By registering, the participant agrees to the publication of the photos and videos that are taken during the use of the University Sports Institute. They will be used for the application and reporting of the University Sports Institute (print and online). The consent remains valid without time limit, but can be withdrawn or restricted at any time. The revocation applies to all future publications, but not to those already made.
22.) Disclaimer of liability
Please note that USI does not provide insurance of any kind for its participants (through the registration for a course, competitions, other events). Participation in courses, competitions and events together with the use of the facilities and equipment of the USI or of the sporting venues rented by the USI is strictly at the participant’s own risk. The USI or the owners of the sports facilities do not accept any liability whatsoever for accidents, illnesses, theft, loss of personal property or damage of any kind. In case of accident or injury the participant must make a claim under their own sickness / accident / third-party liability insurance. We therefore strongly advise participants to enter into their own sickness / accident / third-party liability insurance policy. This disclaimer is acknowledged and accepted through registration in a USI course or inscription for academic competition or events.
23.) Applicable Law
The laws of the Republic of Austria shall apply.
24.) Court of Jurisdiction
The court of competent jurisdiction in Klagenfurt shall be the exclusive place of jurisdiction.
